Reservation procedure:
All reservations must be received in writing via e-mail.
Any special dietary requirements to our reservations department at least 30 days prior to arrival date.
Payment policy:
All reservations made will only be guaranteed once payment is made and monies are received in accordance with the following schedule:
Individual (FIT) reservations:
An individual (FIT) reservation is classified as any booking comprising 1 to 5 guests.
All bookings are held as provisional until:
A deposit of 30% of the total invoiced amount (as specified on the invoice) is received by us.
Should the deposit not be received the reservation will be automatically cancelled.
Once the deposit is received – the booking will be regarded as confirmed on total number of rooms held.
The deposit is calculated by the total number of rooms reserved.
Balance of payment must be received at least 60 days (i.e. 8 weeks) prior to arrival.
Proof of payment must be faxed or emailed to our Johannesburg office, with the following details:
Company name;
reservation name and number;
date of deposit;
amount paid
PLEASE NOTE: Whilst a booking is held in a provisional status and another booking is received accompanied by a 30% deposit, you will be informed in writing to secure your reservation with a deposit of 30% within 5 working days. Failure to pay the deposit within the 5 working days will result in an automatic cancellation of the entire reservation.
Group reservations:
A group booking is classified as any booking of 6 or more guests per night.
All bookings are held as provisional until:
A deposit of 30% of the total invoiced amount (as specified on the invoice) must be received by us unless otherwise agreed to in writing by us at the time of reservation. Should the deposit not be received our reservation system will automatically cancel the booking.
The deposit is calculated by the total number of rooms reserved.
Once the deposit is received – the booking will be regarded as confirmed on total number of rooms held.
On a confirmed group reservation – should rooms be reduced every effort will be made by Footsteps in Africa to resell those rooms.
Should the rooms not be sold – cancellation policy to those rooms reduced will apply.

Another FIT booking is received accompanied by a 30% deposit, you will be informed in writing to secure your reservation with a non–refundable deposit of 30% within 5 working days or release the requested amount of rooms.
Should you not revert back to us within 5 working days the requested amount of rooms will be released and you will be notified in writing thereafter with the amended details particular to your group reservation.
Another GROUP booking is received accompanied by a 30% deposit, you will be informed in writing to secure your reservation with a non–refundable deposit of 30% within 5 working days. Failure to pay the deposit within the 5 working days will result in an automatic cancellation of the entire reservation.
Waitlist:
We are able to waitlist bookings at the lodges on the reservations system – such requests should be sent to us via fax or e-mail. Should the space clear - you will be notified in writing and the standard booking procedures will apply.
Amendments and Special Concessions: All amendments to the above must be directed in writing to Anthony Cavill–Taylor.
Cancellation policy:
All cancellations will be subject to the following policy:
Cancellation policy for individual travellers:

39 – 30 50% of total value of reservation.
30 or less 100% of total value of reservation.
Cancellation policy for groups:

75 – 61 The 30% deposit is forfeited.
60 -30 50% of total value of reservation.

Also please note our requirements on travel insurance as stated below.
Children policy:
Children are welcome at all lodges. At Deception valley lodge however, clients must book family suites and a private game vehicle.
All guests travelling must be covered by their own fully comprehensive travel and medical insurance policy valid from the date that they confirm the booking with us.

Please note that all transfers quoted are subject to change without prior notice. However, rates quoted for confirmed bookings will be honoured.

We have a luggage restriction of 12kg (26.4 pounds) per person (soft bags; no hard suitcases) for all charter flights.
Passenger taxes and visa fees, where applicable, are not included.
